How to upload and organize client documents in the portfolio.

Document Management

Keep all client documents organized and accessible in one place, linked to their portfolio units.

Uploading documents

From a unit detail page, click Documents > Upload. Supported file types include PDF, JPG, PNG, and DOC. Each document can be labeled with a type:

  • Agreement of Purchase and Sale
  • Amendment
  • Deposit receipt
  • Mortgage pre-approval
  • Assignment agreement
  • Inspection report
  • Occupancy notice

Organizing documents

Documents are grouped by type and displayed in chronological order. Each document entry shows:

  • File name and type
  • Upload date
  • Uploaded by (team member name)
  • File size
Documents are stored securely and only accessible to the assigned agent, the client (if they have a portal login), and admin users.

Client access

If your client has a login to the portal, they can view their own documents. They cannot upload or delete documents — that is reserved for team members.

Document best practices

  • Upload the signed APS within 24 hours of execution
  • Scan and upload every deposit receipt the same day
  • Create a naming convention: "Unit-2305-APS-Signed-2026-03-01.pdf"
  • Review documents with your client quarterly to ensure nothing is missing
