How to create and manage appointments with clients.

Appointment Scheduling

The appointment system lets clients book meetings with you directly from your site or via a shared booking link.

Setting up your availability

  1. Go to Admin > Appointments > Availability
  2. Set your working hours for each day of the week
  3. Set buffer time between appointments (e.g., 15 minutes)
  4. Block off specific dates for vacations or personal time

Appointment types

Create different appointment types for different purposes:

  • Discovery Call — 15 minutes, virtual, for new leads
  • Project Consultation — 30 minutes, virtual or in-person
  • Showing — 60 minutes, in-person at the sales centre
  • Contract Review — 45 minutes, with a specific location

Each type can have its own duration, location, and description.

Booking flow

  1. A visitor clicks Book a Meeting on your site
  2. They select an appointment type
  3. They choose a date and time from your available slots
  4. They enter their name, email, and phone number
  5. Both you and the client receive a confirmation email
Add your booking link to your email signature. Every email you send becomes an opportunity for clients to book a meeting with one click.

Managing appointments

View all appointments in Admin > Appointments. From here you can:

  • Confirm, reschedule, or cancel appointments
  • Add notes before the meeting
  • Mark appointments as completed afterward
  • View the linked contact CRM record
